VOLUNTEER INFORMATION

We are excited to announce the following volunteer opportunities available for this event.

Convention 2025 Poster Setup
Saturday, 8 November 2025
10:30-11:30 a.m. (1030-1130)
Onsite location: Griffin Hall 

Volunteers assist presenters in locating their assigned poster panel and provide materials for mounting if needed. Each panel accommodates one poster for optimal viewing. 

Volunteer Responsibilities:

  • Maintain a helpful and welcoming attitude while interacting with attendees from around the world.
  • Multitask and address large groups effectively.
  • Stand for extended periods.
  • Lift 10+ pounds.
  • Be present for the entire poster set-up session.
  • Must be a paid, registered attendee to volunteer.

Sigma staff will provide a process overview and a poster area layout before the shift. To better support attendees, it is recommended to review event materials and the daily schedule.

Volunteers do not receive registration discounts, travel reimbursements, or lodging considerations.

Event greeters 
Friday, 7 November
2025 11:20 a.m.-1:30 p.m. (1120-1330)

Event greeters create a welcoming atmosphere, assisting guests and ensuring a smooth experience. Greeters should have strong interpersonal and communication skills, be welcoming and approachable, and remain calm under pressure. 

Key Responsibilities: 

  • Offer a friendly welcome and assist attendees as they arrive, provide directions, answer questions about the event.
  • Maintain a positive and professional demeanor.
  • Support crowd flow and direct guests to designated areas.
  • Coordinate with event staff to address any attendee concerns.

Convention 2025 House of Delegates Helper

Sigma is seeking dedicated volunteers to assist during the House of Delegates at the 2025 biennial convention in Indianapolis, IN, USA, on:
Monday, 10 November 2025 | Approximately 2:30-6:15 p.m. (final hours coming soon) and/or
Tuesday, 11 November 2025 | Approximately 10:00 a.m.-5:00 p.m. (final hours coming soon)

  • Guide delegates and special guests to their assigned seats and provide information about the House schedule.
  • Assist delegates in connecting personal devices to the dedicated Wi-Fi and voting system.
  • Distribute materials and provide support to attendees as needed.
  • Help delegates troubleshoot issues with the electronic voting platform.
  • Facilitate alternative voting methods if needed.

To participate, helpers must:

  • Be registered as an attendee of the 2025 biennial convention.
  • Not be a convention delegate.
  • Not be a candidate on the ballot or in a chapter with a candidate on the ballot.
  • NOT serve on the Sigma Board of Directors, any international committee, task force, or advisory council.

By volunteering, you will play a crucial role in ensuring smooth and efficient delegate experience during this important business meeting.

Join the action at the Sigma Marketplace!

Each day at the Sigma Marketplace, enthusiastic volunteers help attendees find the perfect merchandise, process orders, and keep the space looking great while shoppers explore all the Marketplace has to offer. Volunteers will need to be able to stand for periods of time and lift items (10 pounds or more).

Moderators
Seeking volunteers to be on-site to fill in for sessions with missing moderators. Moderator responsibilities include: 

  • View a brief moderator tutorial video during the event on the Sigma Event App or view prior to the event.
  • Arrive in the session room at least 10 minutes before the start of the session.
  • Review required information with presenters.
  • Introduce the presenters and monitor the room.
  • Facilitate the question-and-answer dialogue between the audience and presenters.
  • Complete a short electronic Moderator Report Form for feedback and evaluation of the session.
  • Obtain signatures electronically of each presenter who was present at the session.
  • Must have a personal device (phone or tablet) that has capabilities to scan a QR Code.
  • Check-in at the Presenter Ready Room 30 minutes before each concurrent session to receive a room assignment.
