VOLUNTEER OPPORTUNITIES

Key Responsibilities:

• Maintain a helpful and welcoming attitude while interacting with attendees from around the world.
• Multitask and address large groups effectively.
• Stand for extended periods.
• Lift 10+ pounds.
• Be present for the entire poster set-up session
• Must be a paid registered attendee to volunteer.

Session Moderators:
View a brief moderator training video prior to the event, arrive at the session room at least 10 minutes early, and review key session details with presenters. Moderators will introduce speakers, monitor the session, facilitate audience Q&A, and complete a short electronic Moderator Report Form following the session. Electronic signatures must also be collected from each presenter in attendance using a personal device capable of scanning QR codes. Sign up for a shift.

Poster Session Setup Volunteers:
Volunteers assist presenters in locating their assigned poster panel and provide materials for mounting if needed. Each panel accommodates one poster for optimal viewing.  

Sigma staff will provide a process overview and a poster area layout before the shift. To better support attendees, we recommend that you review event materials and the daily schedule. 

Poster Session Ambassadors:
Welcome attendees into the event space while encouraging discussion and interaction with poster presenters, answer general questions about the event, schedule, and poster topics, or direct attendees to appropriate resources, monitor the flow of the session to ensure a smooth experience, and promptly communicate any issues, emergencies, or needs to Sigma staff or hotel employees.

Poster Session Teardown volunteers:
Work with presenters and Sigma staff to remove unclaimed posters from easels and clear the room of any debris. Staff will provide directions on the placement of unclaimed posters for presenters to retrieve.

Welcome Ambassadors:
Welcome Ambassadors help create a warm, welcoming atmosphere for attendees while ensuring a smooth and positive event experience. Ideal volunteers are approachable, professional, and able to remain calm and helpful in a fast-paced environment.

Responsibilities include greeting attendees upon arrival, providing directions, answering event-related questions, and assisting with credential and material printing. Welcome Ambassadors will also help manage crowd flow, direct guests to designated areas, and coordinate with event staff to address attendee needs and concerns in a courteous and professional manner.
